When you use a reference management software program, you export references from a database or library catalogue to create a central library of all your references in the program. If a reference you want to use is not in a database repository or library catalogue, you may add it manually. You can integrate the program into MS Word to create automatic literature references in your text.
There are many different reference management programs, some are free to use and some require a licence. Here you can read more about EndNote and Mendeley, two reference management software applications.
